Procedure For Organizing a Scientific Event

In order to hold any type of scientific event, it is obligatory to submit a complete application file to the Deputy Directorate for PhD Training, Scientific Research, and Technological Development, with a copy sent to the Directorate of Information and Communication Systems, and External Relations.

This submission takes place following the launch of the Call for Scientific Events made by the Directorate of Information and Communication Systems and External Relations, which is organized twice during the academic year: a 1st session in January and a 2nd in September.

In order to organize a scientific event of any sort within the institution (symposium, seminar, study day, etc.), whether in person or in the form of a webinar, the following steps must be followed:

Step 1: Submission of the application file

The application file, submitted by email, is forwarded for review and approval to the School’s scientific bodies by the Directorate of Post-Graduation and Research. It must be approved by all the scientific bodies of the School.

The application must include the following documents:

  • A request for authorization addressed to the Director of the school, outlining the objective of the event;
  • The call for papers or the preliminary program, specifying the names of the speakers, the dates, and the schedule of presentations;
  • A list containing the organizing and the scientific committees of the event, indicating the name of the chairperson responsible for each committee;
  • The resumes of the participants;
  • A completed support request form (to be downloaded from the website).

Any incomplete file or any file submitted after the deadline will be automatically rejected.

 

Step 2: Submission of papers and presentations

After the application is approved by the Scientific Council, all papers as well as PowerPoint presentations must be sent to the Post-Graduation Directorate for monitoring purposes.

Step 3: Submission of the final report

After the conclusion of the scientific event, the organizer is required to submit a final report to the Directorate of Information and Communication Systems and External Relations, in order to ensure the databases are well updated.

With regard to international scientific events, the new conditions are set out in the correspondence of the Secretary General of the Ministry of Higher Education and Scientific Research (MESRS) No.595 of May 19, 2025.
